              The Records Room of the Westlake Police Department is open to the public during normal business hours, Monday through Friday. There are three secretaries handling the workload in the Record Room. Copies of reports, such as motor vehicle accident reports, and incident reports can be obtained for a minimal charge to cover copying fees. The secretaries do record checks, prepare all the court paperwork and enter all the information obtained by the police officers into a computer network that can be reached statewide and also nationally.  Each secretary is assigned specific tasks.  One assists the prosecutor by providing him with all the necessary reports for his court cases.  She also informs the officers of any cases they have scheduled on the court docket. She is also responsible for perusing and editing all incident reports prior to their uploading into the statewide computer network.  Another secretary gathers all of the traffic tickets that are written daily and types a jacket (envelope) for the ticket to be sent to the court.  She then enters the information on each arrest into the computer system and is responsible for entering court case dispositions into the computer system.   The third secretary works with the Detective Bureau.  She types the personal information obtained on each prisoner that is fingerprinted and forwards the fingerprint cards to the FBI and the state’s Bureau of Criminal Investigation.  She is also responsible for gathering all crime statistics and reporting these details to the FBI in the Uniform Crime Report.

The secretaries are the initial contact with citizens when they enter the building.  The secretaries will ask a few basic questions and determine how and by whom the citizen can best be served.  The secretaries will also help answer the telephones when the dispatchers are busy on other calls or on the radio.
